Draw the group as entities, factories, warehouses and external processors. Mark who owns inventory, signs orders, employs people and invoices customers at every step. A warehouse in another country and a separate legal entity are different design problems. Do not use the application company structure as a substitute for this analysis. Add the management dimensions needed for product, plant and business-unit reporting, and identify which are shared across the group. Ask local operations and finance to approve the same map. A common item identity can simplify group planning while local units, accounts and supplier rules remain different. The evaluation must preserve that distinction. This guide supplies buying scenarios rather than accounting, tax or legal conclusions. Qualified local and group advisers should define the treatment and obligations that the chosen configuration must support.
Establish a controlled global product template
List which product fields originate centrally and which are locally maintained. Engineering may own the global design while a plant owns its routing, approved local supplier or production lead time. Test a new revision released to one plant while another continues approved work on the previous revision. Include a local substitute that must not automatically become valid at every factory. Microsoft's engineering change overview documents a model in which an engineering company can publish product information to other entities. That is a particular product mechanism, not a universal template or fit assessment. Ask each candidate to demonstrate its equivalent governance. Retain the source, approval and effective scope of shared data. Uncontrolled copying between companies can create a misleading appearance of standardization while leaving different versions of the same item in active use.
Follow ownership through an intercompany order
Create demand in one entity that is fulfilled by another plant. Follow the sales order, purchase order, production, shipment, receipt and invoice records, including their cross-references. Decide which confirmations happen automatically and which require review. Business Central's official intercompany documentation describes exchanges focused on sales, purchase and general journal transactions; it does not establish every manufacturing or consolidation requirement. In the proposed package, inspect in-transit stock, partial shipment and a quantity dispute. Verify that operations can see the physical goods while finance can identify the owning entity under the approved policy. If one entity changes a date or quantity, ask how the partner document is updated and who notices a mismatch. Automation is useful when it reduces duplicate entry, but a silent unmatched transaction can be more difficult to resolve than a visible manual queue.
Rehearse a month-end crossing and a correction
Illustrative example: plant A ships 100 assemblies on the final day of a month, plant B receives 96 next month and records four damaged units awaiting a decision. The quantities are fictional and do not prescribe period treatment. Ask both controllers to apply their approved policies and reconcile documents, stock ownership, invoices and balances. Then introduce a credit and a transaction-currency change. Distinguish transaction currency, local reporting currency and group presentation currency in the demonstration. Retain exchange-rate sources and dates where required by the group's policy. Identify which differences are timing, quantity, price or currency. A grand total that happens to balance is not enough. The useful artifact is a bilateral reconciliation in which both entities can explain the same transaction and the group team can identify any adjustment it must review.
Validate local outputs without fragmenting the template
Build a country register with the named edition, local delivery provider, required outputs, integration dependencies and acceptance owner. Have qualified local advisers confirm current requirements; this article makes no country-specific compliance claim. Generate the outputs from the intercompany and manufacturing test pack, including corrections and close activity. A translated interface and a vendor's country presence do not establish usable local reporting. Where a partner extension supplies localization, ask how changes are maintained, tested and deployed alongside the core release. Preserve deliberate local variation in the template documentation rather than treating it as an unexplained exception. The goal is to reuse a stable group process while keeping local responsibility visible. A heavily standardized design that forces every plant into offline work can undermine the data consistency it was meant to create.
Make group planning explain local constraints
A group planner may see demand across plants, while a local plant faces labor, equipment, approved-supplier or transport constraints. Test a proposed transfer that appears attractive at group level but misses a local shipping cutoff. Include supplier-held material, different working calendars and a quality hold. Ask how the system distinguishes available stock from stock that can reach the receiving plant in time. If a group planning tool is separate from ERP, inspect identifier mapping, update timing and the recovery path for a rejected plan. Do not assume consolidated inventory visibility means executable global planning. Have local planners explain the proposed action and the commitments it changes. The relevant evidence is a chain from group demand through feasible local action to updated promises, with approval where one entity's decision affects another's customer.
Design rollout and support for shared failure modes
Pilot one complete cross-entity flow before extending the template to every country. Select a case that includes a local output, a physical shipment, an invoice and a reconciliation rather than only shared master data. Rehearse a failed message during a time-zone handoff and identify who can authorize recovery. Keep support coverage aligned with plant shifts and close calendars. At cutover, reconcile stock by owner as well as location, and prevent an in-transit movement from appearing in both opening datasets. Deliver the entity map, field-ownership matrix, intercompany reconciliation, country register and incident handoff. These artifacts should remain useful after rollout and through acquisitions or new plants. Compare candidates on the ability to operate this shared model with explicit responsibilities. The broadest global feature list is less informative than a demonstrated correction that both local teams and group finance can follow.
The industry acceptance brief
Entity and inventory ownership
Location and legal owner are different dimensions.
- Scenario
- Store goods owned by two entities in one warehouse.
- Evidence
- Distinct owner balances, authorized transactions and a reconciled physical total.
Global and local product governance
Central design and local execution must coexist.
- Scenario
- Release a revision to one plant while another finishes approved prior work.
- Evidence
- Field ownership, release scope, local overrides and effective versions.
Intercompany matching
Paired records can diverge after creation.
- Scenario
- Part-ship an internal order and change the remaining quantity.
- Evidence
- Cross-references, synchronized changes and a visible mismatch queue.
Period and currency reconciliation
Timing and translation differences need explanation.
- Scenario
- Ship before close, receive after close and post a later credit.
- Evidence
- A controller-approved bilateral bridge with currency and timing detail.
Country-specific outputs
Global availability is not a localization assessment.
- Scenario
- Generate a local correction document from the shared transaction pack.
- Evidence
- Current local review, named provider and documented maintenance responsibility.
Cross-site planning and support
A group suggestion may be locally infeasible.
- Scenario
- Transfer a held component across a shipping cutoff during a time-zone handoff.
- Evidence
- Feasible dates, approval, exception ownership and recovery evidence.
Failure modes to investigate
- Using one application company per warehouse without first resolving legal ownership.
- Publishing global item changes that overwrite deliberate local approvals.
- Calling intercompany automation complete because the initial paired orders were created.
- Treating a consolidation total as a substitute for bilateral transaction reconciliation.
- Rolling the template into a new country before validating its local outputs and support coverage.
Questions buyers ask
Should every entity use exactly the same configuration?
Reuse the stable group process, but document legitimate local variation. Test the consequences of shared and local fields before enforcing uniformity.
Does intercompany support include consolidation?
Do not assume it does. Demonstrate matching, currency handling, group reporting and any elimination work as separate requirements in the named package.
What is the best first global pilot?
Use a complete cross-entity manufacturing and shipment flow with one difficult correction, local outputs and a period reconciliation. It should involve both local teams and group finance.
Product dossiers to investigate
